Dispatch & Customer Service Representative needed for an electrical contracting & service company in Burlington, WA.
We are looking for a motivated person with strong people skills and computer skills to assist with service dispatch and customer service relations. In addition to dispatching and billing, this person will be tracking and following progress on jobs, making sure the customer is satisfied and all follow-up is completed. Our dispatch and customer service admin will work closely with the service managers to communicate schedules, obtain information, and help our customers and technicians feel supported.
This is a full-time employment opportunity for someone looking for long term employment with a company that feels like family. Monday to Friday, 7:30am-4:00pm in an on-site office position.
Essential Duties and Responsibilities:
• Perform general office duties for the service department including answering phone, customer service, tracking, billing, renewing contracts, scanning documents & electronic filing.
• Dispatch technicians daily for repair calls or with other departments.
• Set-up all new customers and jobs, collecting required job information and maintaining files/compliance on an on-going basis.
• Schedule with Commercial and Residential Managers while maintaining the shared service calendar and monitoring after-hours calls and technicians.
• Review technicians debriefs as well as follows up with the customer to schedule service as needed.
• Accounts receivable: including creating and sending customer invoices, receiving payments, collecting down payments, and processing credit card payments.
• Resolve billing issues while maintaining excellent relationship with customers.
• Track and report all open/unbilled jobs and call on past due service invoices.
• Following up on customer satisfaction after service.
• Obtaining electrical permits, requesting inspections, and following up on corrections.
• Handle Warranty paperwork by submitting and tracking appropriately.
• Attend service meetings and provide updates to admin staff.
• Work effectively with management and other employees while maintaining quality of work, accuracy, confidentiality, and professionalism.
• Provide a professional, friendly, point-of-contact for customers, field employees, and management
• Assist team members as needed.
• Support service and accounting departments with other routine administrative tasks as assigned.
Preferred Qualifications and Skills:
• High School Diploma or GED
• Two or more years of relevant experience in an office environment
• Must be able to accurately key-board 40 wpm
• Strong Customer Service skills; consistently professional and courteous to both internal staff and external customers
• Ability to focus and follow instructions while working independently or in a team setting
• Meet deadlines and handle multiple tasks accurately and efficiently in a fast-paced environment
• Strong organizational and time management skills with the ability to prioritize tasks effectively
• Proficient data entry skills with experience in Microsoft Word, Excel, and Google Drive
• Outstanding communication skills, both written and verbal
• Attention to detail in a changing environment
• Seeks assistance as needed and asks questions in a timely manner and to appropriate staff.
• Consistently meets the overall goals of Service & Accounting Department.
• Desire to learn and grow with the company
• Punctual and dependable with reliable means of transportation
Office administrative and accounting experience a plus.
Construction background is preferred but not required.
Pay depending on experience. Estimated Annual Salary: $48k-$58k
